Every property on RentalBay runs as a live auction. Instead of a fixed rate, the nights ahead go under the hammer — you bid the price per night you'd pay, and the highest proxy bid wins when the countdown ends.
Bids are always priced per night and no stay ever runs past a full week. Every auction starts at least 30% below the same place's price anywhere else — see each property for its current bid and minimum increment.
Set your maximum and RentalBay bids on your behalf, raising your bid only when someone outbids you — up to your limit. You never pay more than the winning increment, and you don't have to watch the clock.
Each auction runs a maximum of 7 days. When the countdown hits zero, the highest bidder wins the week ahead at their final per-night price.
Yes. Many properties offer "Rent now" at a fixed per-night rate — bound to the first guest who books, with no bidding and no hidden fees. Every rent-now price sits at least 12.5% below the same property's rate on other platforms.
Anyone can list a property. Publish a title, location, category, starting bid and auction length (1–7 days), then complete the price check and your stay goes live as an auction. Your starting bid must be at least 30% below the same property elsewhere, and any rent-now price at least 12.5% below it.
So every auction starts at a genuine last-minute discount: starting bids open at least 30% below the same place's rate anywhere else, and rent-now prices at least 12.5% below it. Hosts verify against their listing on another platform before publishing. Bidding can still push the final auction price up — the guarantee applies to the opening price and the rent-now rate, never the closing price.
Listing is free and guests never pay a service fee. When a booking closes — auction or rent-now — RentalBay keeps 8% of the booking value (per-night price × nights, capped at a full week). You're only charged when your property books, and your payout lands about 24 hours after check-in.
Two things, both enforced automatically, not just promised: every listing's starting bid and rent-now price are checked against the host's declared comparator before publishing (the 30% / 12.5% rule above), and every host is phone- and email-verified before they can list. These Terms and Conditions ("Terms") are a binding agreement between you and RentalBay Limited, a private limited company incorporated and registered in England and Wales (company number [to be inserted on incorporation], registered office [to be inserted]) ("RentalBay", "we", "us", "our"), governing your access to and use of the RentalBay platform (the "Platform") for users in the United Kingdom. By creating an account, browsing, bidding, listing a Property, or otherwise using the Platform, you agree to these Terms. If you do not agree, do not use the Platform.
RentalBay is a marketplace, not a party to any rental. We provide technology through which Hosts list Properties and Guests discover, bid on, and book them. RentalBay is not a landlord, property manager, real estate broker or salesperson, insurer, or inspector, and is not a party to any rental contract. We are not a payment institution: payments are processed by a licensed payment service provider (Section 7). The rental agreement for any Stay is a direct contract solely between the Host and the Guest.
No agency. Nothing creates an agency, partnership, joint venture, employment, or fiduciary relationship between (a) RentalBay and any Host or Guest, or (b) any Host and any Guest.
You contract at your own risk. Hosts and Guests are independent third parties; we exercise no operational control over them and do not own, operate, inspect, or insure any Property. Claims arising from a Stay, a Property, or a user's conduct are matters between you and that user, subject to Section 8.
Listing accuracy. Each Host warrants every Listing (title, description, photographs, location, amenities, pricing, occupancy, availability) is accurate, current, and not misleading, and that the Host has the full legal right to offer the Property, including required short-term-rental licenses, permits, registrations, and tax authorizations. Photographs must depict the actual Property. "PROP" property numbers, ratings, and review counts are generated by our systems and are not quality representations.
Safety and habitability. Each Host warrants the Property will, throughout any Stay: (a) be habitable and safe; (b) comply with all applicable building, health, fire, and safety laws; (c) contain working smoke detectors and, where required by law (e.g., fuel-burning appliances or attached garages), working carbon-monoxide detectors; (d) have working entry-door locks and any security devices represented in the Listing; and (e) present no condition the Host knew or should have known creates a serious risk of injury. RentalBay does not inspect, test, or certify any Property or its safety equipment. Nothing on the Platform or in our marketing is a representation that we have done so.
Pricing. (a) Every auction has a per-night Starting Bid. The Host warrants it is at least 30% below the lowest prevailing nightly rate at which the same or an equivalent accommodation is offered anywhere else. The 30% undertaking is self-certified by the Host and spot-checked by the Platform's price-check before publishing; it is not independently verified against third-party listings, and we make no representation as to its accuracy beyond that spot-check. The 30% undertaking applies only to the Starting Bid, never to any closing price — wherever this discount is shown to a Guest, it is shown alongside a clear statement that it describes the opening price only, not the price the Guest will pay. The Host acknowledges bidding may push the final per-night price to or above the Reference Price. (b) Auctions may run for up to seven (7) days and no Stay may exceed a full week. (c) All prices are displayed and settled in GBP (£).
Prohibited listings and conduct. A Host must not: list a Property they do not control; create duplicate, fake, or "bait-and-switch" Listings; post false or paid reviews; use shill accounts to bid on or inflate their own auctions; discriminate against Guests on grounds of race, colour, national or ethnic origin, religion, sex, disability, or any other protected characteristic under applicable law; or collect any payment from a Guest outside the Platform. We may remove Listings, suspend accounts, or cancel reservations in our reasonable discretion.
Account security. Hosts must keep accounts and sub-accounts secure, enable two-factor authentication where offered, keep credentials confidential, and report any suspected compromise within 24 hours. Hosts must never request, store, or accept a Guest's payment-card data through Platform messaging or any off-platform channel. A Host remains responsible for activity on their account until we disable it.
No price-parity restriction. We impose no restriction on a Host's freedom to offer better prices or conditions through other channels, including their own website.
Auction exclusivity. Effective from 5 October 2026. While a Listing's auction is live — from publication until the auction ends, is won, or is cancelled — the Host warrants the Property will not be offered, advertised as available, or let through any other channel, platform, or direct arrangement for those same dates. This restriction applies only for the auction's live window, currently capped at seven (7) days; outside that window, the "No price-parity restriction" above governs and the Host's other-channel freedom is unrestricted. Before publishing an auction, the Host must affirmatively confirm this undertaking; breach is enforced under the penalty schedule described at Section 9 ("Exclusivity breach").
Host indemnity. Each Host indemnifies, defends, and holds harmless RentalBay and its affiliates, officers, directors, employees, and agents from all claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or relating to the Host's Listing, Property, or any Stay; any injury, death, damage, or loss at or arising from the Property; the Host's breach of these Terms or law; or any claim by a Guest, guest, neighbour, authority, or third party relating to the Property or Host conduct.
Business hosts (traders). Hosts acting in a trade, business, craft, or profession must provide and keep current their business identity details (legal name, address, contact, registration/VAT where applicable), self-certify and permit verification against official databases, and have that information displayed to Guests. They must comply with the online-safety obligations in Section 16 and the Platform-to-Business provisions in Section 17.
Short-term rental registration. Where the relevant UK nation requires a short-term-let registration or licence number (Scotland and England currently do; Wales and Northern Ireland's positions are tracked and may change — see the registration field on the listing form), the Host must provide and maintain it, and authorizes us to collect and share booking and registration data with the relevant public authority to the extent that nation's scheme requires. We may verify against official registers and suspend non-compliant Listings.
Each Listing is a live auction priced per night ("£/night"). It opens at the Starting Bid and runs for a fixed duration of up to seven (7) days. The end time displayed on the Platform governs; our servers are the sole clock.
Bids are placed as a maximum ("Max Bid") or a stated amount. Each Bid is legally binding once accepted and raises the visible price by the applicable minimum increment. The highest Max Bid wins at the lowest price exceeding the second-highest Max Bid by one increment (proxy bidding). Max Bids are confidential. A Bid may not be retracted once accepted except under Sections 9, 10, or mandatory law.
Winning creates (a) a binding reservation directly between the Guest and the Host for the nights indicated and (b) an obligation to pay the total price immediately. No stay may be reserved for more than seven (7) nights.
No guarantee of price outcome. Competition may push the closing per-night price above the Starting Bid, and the closing price may equal or exceed what the same Property lists for elsewhere. The 30% commitment applies to the Starting Bid only.
Rent-now. Where offered, a Guest may bypass the auction at the fixed per-night "Rent now" price on a first-confirmed basis, creating the same binding reservation and payment obligations as above.
Rent-now availability during bidding. Once a Bid placed within an active auction equals or exceeds the fixed per-night Rent-now price, the Rent-now option for that Listing is automatically disabled for the remainder of the auction and may not be used by any Guest, including the Bidder whose Bid triggered the change. Before submitting a Bid that would equal or exceed the Rent-now price, a Bidder will be shown a notice that doing so will remove the Rent-now option, and must affirmatively confirm before the Bid is submitted.
All-in pricing. The total price shown at checkout is the complete price we will charge for the Stay (nights, cleaning or other Host fees disclosed in the Listing, and all RentalBay fees). We do not and will not add resort, destination, amenity, utility, or any other mandatory "junk" fees at checkout that were not in the displayed price. Cleaning or similar Host fees are disclosed in the Listing before any bid.
Host fee (8%). When a booking closes — auction or Rent-now — RentalBay charges the Host a fee of 8% of the total booking value (the per-night price × the number of nights, capped at a full week of seven nights). The fee is deducted from the booking proceeds before payout. Guests never pay a service fee, there is no listing fee, and the Host is charged only when a booking actually closes. The checkout summary shows the fee and the amount the Host receives.
Currency. All prices are displayed and settled in GBP (£). We will never misrepresent the currency of any charge, and if we or our support staff communicate a charge or currency fact that is wrong, we will correct it and refund the difference on request. Conversion fees charged by your own financial institution are not ours.
Mandatory taxes. Mandatory taxes and government-imposed charges (including occupancy, tourist, transient, sales, or similar taxes, where applicable) are disclosed before you pay and, where the law requires, shown separately from the total price. We will never add such charges to the price shown at checkout after confirmation.
Overcharge remedy. If you are charged more than the total price shown at checkout, we refund the difference within thirty (30) days. If our support staff misstates your entitlement to a remedy, we will honour the correct remedy once identified.
Chargebacks. A chargeback is not a dispute-resolution mechanism; use Section 8 first. We may contest any chargeback and, if unfounded, you agree to reimburse the amount plus reasonable costs.
A successful Bid or Rent-now confirmation creates a Reservation directly between the Guest and the Host. These Terms, the Listing, and the House Rules govern the Reservation.
Identity. Guests warrant the accuracy of the identity, age, and contact information provided. Today, age and identity are self-declared at registration (date of birth plus an age-gate confirmation); we do not currently run document-based identity or age verification. We reserve the right to introduce government-issued identification, age verification, or an identity check before or after booking, and to cancel a Reservation if a check we do introduce is not completed. We have no duty to verify any user's identity.
Occupancy and parties. Guests may not exceed the occupancy in the Listing, sublet, or use the Property for any event, gathering, or party. Unhosted parties are strictly prohibited. We may, in our reasonable discretion, cancel or refuse any Reservation we consider high-risk and may require proof of age and identity before check-in.
Guest responsibilities. The Guest is responsible for the Property during the Stay, will comply with House Rules (quiet hours, waste, smoking), will report damage promptly, and will pay for damage they cause. Use of a Property is at the Guest's own risk; no RentalBay employee has inspected it.
No subletting or rebooking. Guests may not re-list, resell, or transfer a Reservation without the Host's written consent and our approval.
Payment is due at confirmation. Funds are held and released to the Host in accordance with the schedule shown at checkout (generally 24 hours after check-in). We are not a party to the rental contract and are not ourselves an authorised payment institution: all payment processing is performed by a payment service provider authorised by the UK Financial Conduct Authority under the Payment Services Regulations 2017 (details of the current provider and its FCA authorisation are available on request and will be published on the Platform once the provider is confirmed for UK operations). RentalBay never holds, controls, or settles Guest funds. The payment service provider processes and settles payments and deducts its own processing fees, which are disclosed at checkout.
Off-platform payments prohibited. Hosts must not request, and Guests must not make, any payment outside the Platform (bank transfer, wire, cryptocurrency, or otherwise). Such arrangements are between those users and outside these Terms and any protection we can provide. We will never ask you to share payment-card details by email, phone, text, or messaging, or to make any bank transfer.
Tax collection. Where applicable law requires a marketplace or platform to collect or remit sales, occupancy, transient, or similar taxes on behalf of Hosts or Guests, we will do so to the extent required and will disclose any such collection before checkout.
We provide a good-faith dispute process for disagreements between users. Before legal action against another user, you agree to notify the other party and attempt good-faith resolution through the Platform's dispute process. This is a notification and best-efforts requirement only: it does not require you to exhaust the Platform's process, to arbitrate, or to delay any mandatory statutory remedy, and it does not apply where a court or supervisory authority requires earlier proceedings. We may, in our sole discretion, mediate, issue refunds from held funds, or take other reasonable steps, but have no obligation to do so; our doing so (or declining to) creates no duty and no liability for any user's conduct.
We are not liable for user conduct. To the maximum extent permitted by law, RentalBay has no liability for the acts or omissions of any Host or Guest, including misrepresentation, fraud, theft, injury, death, property damage, discrimination, or failure to deliver a Property.
Finality of auctions. A winning Bid or a Rent-now confirmation is final and binding on both sides, subject to the exceptions in this Section and to any right that mandatory law gives you and that this Section cannot remove. Outside those exceptions, a Guest is not entitled to cancel or claim a refund of a won auction or Rent-now purchase. Rationale: auctions are capped at one week and every property that sells is removed from the market, so a Guest no-show is an immediate and real loss to the Host; the rule is symmetric — Hosts may not walk away either. This finality is prominently disclosed before any bid. Where the Host is a trader and the Guest is a consumer, the Guest's statutory rights against that Host (including for defective performance) are unaffected; this Section governs RentalBay's role and the Platform mechanics only.
Exclusivity breach. Where RentalBay confirms a Host let a Property through another channel while its RentalBay auction was live (Section 3, "Auction exclusivity"), any resulting auction or reservation may be voided and the total price refunded to the Guest in full, without prejudice to RentalBay's other remedies against the Host: a formal warning; removal of the Listing; suspension of the Host's ability to create new Listings for a defined period; a fixed fine calculated on a documented, proportionate basis; or, for a repeated or bad-faith breach, termination of the Host's account.
Refund exceptions. We (or the Host, as applicable) will refund the total price in full where: (a) the Host cancels the Reservation; (b) at check-in the Guest is denied access for reasons within the Host's control, including the Property materially not matching the Listing; (c) the Property is unavailable or uninhabitable at check-in due to a condition the Host knew or should have known about; or (d) applicable law requires a refund. In all other cases refunds are discretionary, not a right. Where the Host is a trader, the Guest's statutory rights against that Host are unaffected.
Force majeure. Neither we nor any Host is liable for failure to perform due to events beyond reasonable control (natural disaster, utility failure, government action, pandemic-related restrictions), and cancellations from such events are governed by the then-current policy.
No cooling-off for accommodation. Booking accommodation for specific dates is excluded from the statutory right to cancel under Schedule 2, paragraph 12 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and no such right applies to your Reservation.
You must not, and must not attempt to: (a) use the Platform for any unlawful purpose; (b) interfere with auctions, including shill bidding, bid-rigging, or collusion; (c) scrape, reverse-engineer, or interfere with the Platform; (d) harass, threaten, or discriminate against any user; (e) make fraudulent reservations or misrepresent your identity or the nature of your stay; (f) book Property to resell it; (g) circumvent our fees, verification, or safety measures; or (h) create accounts to evade a suspension. We may suspend or terminate any account, remove any Listing, cancel any Reservation, or refuse service, in our reasonable discretion, with or without notice, subject to Section 16.3 (statement of reasons). You indemnify us for loss caused by your breach of this Section.
The Platform and all content, software, logos, text, graphics, and data we create (including auction mechanics, "PROP" property numbering, and look and feel) are owned by or licensed to RentalBay and protected by law. We grant you a limited, revocable, non-exclusive, non-transferable licence to use the Platform for its intended purpose. You retain rights in content you submit; by submitting a Listing or review you grant us a worldwide, royalty-free licence to host, display, and sublicense it as needed to operate the Platform.
The Platform is provided "as is" and "as available," without warranties of any kind, express or implied.
No duty to pre-screen. We have no duty to pre-screen, verify, or police any Listing, Property, Host, or Guest, and do not guarantee that any Property exists as described or that any user is who they claim to be. "Verified," "Top-rated," review, and rating signals reflect limited automated and manual checks only and are not guarantees.
No implied screening duty from our assistance. We may, in our sole discretion, help users who claim fraud or loss by removing Listings, pursuing refunds from held funds, or supporting law enforcement. This is an accommodation, not a duty, and creates no obligation to investigate or screen any user or Listing. We make no promise any assistance will recover funds and disclaim liability for providing, declining, or terminating it.
Marketing statements are illustrative of the marketplace model and are not representations that we inspect, insure, or guarantee any Property, host, or guest.
To the maximum extent permitted by law, RentalBay's aggregate liability for all claims arising out of or relating to the Platform, these Terms, or any transaction, whether in contract, tort, or otherwise, shall not exceed the greater of (a) the total fees actually paid by you to us in connection with the specific transaction giving rise to the claim, or (b) £100. This cap applies to our own acts and omissions as the operator of the Platform; it does not limit any Host's or Guest's liability to the other under the Reservation contract between them, and it does not affect the refund exceptions in Section 9 or the overcharge remedy in Section 5.
To the maximum extent permitted by law, RentalBay is not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, or for lost profits, lost data, or personal injury or property damage occurring at a Property.
Carve-outs (mandatory law prevails). Nothing in this Section limits liability (a) for death or personal injury caused by our negligence; (b) for fraud, gross negligence, or willful misconduct; or (c) where limitation is prohibited by mandatory consumer-protection law, including the Consumer Rights Act 2015. Where a court or regulator finds any part of this cap unfair or unenforceable as against a consumer under the Consumer Rights Act 2015, that part does not bind the consumer and the rest of these Terms continues to apply.
Hosts indemnify us per Section 3. Guests indemnify us for claims caused by their breach of these Terms or violation of law.
Consumer carve-out. This Section does not apply to consumers except for breach of Section 10 (prohibited conduct), to the extent lawful.
Scope. The Platform carries user-generated content (Listings, reviews, and messages between Hosts and Guests) and is a regulated service under the Online Safety Act 2023, overseen by Ofcom. We moderate content for illegal material (including fraud, unsafe or illegally listed Properties, and other prohibited content) and for violations of these Terms, using a combination of automated tools and human review. Human review is available on request.
Risk assessments. We carry out and keep under review the illegal-content risk assessment the Online Safety Act requires of a service like ours, and a children's-access assessment to determine whether the Platform is likely to be accessed by children; if it is, we put in place the child-safety measures the Act and Ofcom's codes of practice require. Registration is restricted to users aged 18 and over (Section 2); see Section 6 on the current, self-declared basis for that age gate.
Reporting illegal content. Any person may report suspected illegal content through the reporting channel on the Platform (including legal@rentalbay.co.uk). We acknowledge reports promptly and take proportionate action, which may include removing content, restricting a Listing, or suspending an account.
Statement of reasons. When we remove, restrict, or disable content, or suspend an account, we provide a clear and specific statement of reasons unless doing so is legally restricted or the content is manifestly illegal.
Complaints. Users may complain about a moderation decision, or about our compliance with our illegal-content and child-safety duties, through the same reporting channel. We review and respond to complaints within a reasonable time. Users may also complain to Ofcom, the regulator responsible for enforcing the Online Safety Act, or pursue any other right they have under mandatory law.
Know your business customer. Trader Hosts must provide and keep current their business details; we verify them against free official databases and display them to Guests; we suspend non-compliant traders.
Transparency. These Terms describe our moderation policies; we will publish an Ofcom-required transparency report if and when our size and risk profile require one, and maintain a single point of contact for authorities and users (Section 20).
This Section reflects the UK's retained (assimilated) version of the EU Platform-to-Business Regulation (Regulation (EU) 2019/1150), which continued to apply domestically after the UK left the EU.
Informal resolution. Before commencing any dispute, you agree to notify us in writing and attempt informal resolution for thirty (30) days.
Consumer disputes — your rights preserved, and come first. If you are a consumer (a person acting outside their trade, business, craft, or profession), nothing in these Terms requires you to arbitrate or waives any statutory right, and the business-arbitration clause below does not apply to you at all. You may always bring proceedings in the courts of England and Wales, Scotland, or Northern Ireland — whichever covers where you live — and you may instead choose to bring proceedings in the courts of the part of the UK where RentalBay is established. You may also seek out-of-court resolution through a UK Alternative Dispute Resolution (ADR) provider accredited by the Chartered Trading Standards Institute (CTSI) under the Digital Markets, Competition and Consumers Act 2024; details of the relevant provider for our sector will be published on the Platform once RentalBay is a registered UK business. Nothing here excludes a representative action or any other route mandatory UK law gives you.
Business disputes only — binding arbitration. This clause applies only where neither party is a consumer. Any dispute between RentalBay and a business user shall be finally resolved by binding arbitration seated in England, conducted under the Arbitration Act 1996; if arbitration is unavailable or unenforceable, the dispute may be brought in the competent courts. No class, collective, or representative proceedings except as required by law.
Delegation. For disputes under the previous clause, the arbitrator decides the scope and enforceability of the arbitration clause.
Governing law. These Terms are governed by the law of England and Wales, excluding its conflict-of-law rules; for consumers, the mandatory protections of the law of the part of the UK where you live continue to apply regardless of this choice.
Venue. For claims not subject to arbitration, the courts of England and Wales have jurisdiction, subject to the consumer provisions above.
Time limits. To the maximum extent permitted by law, claims must be brought within one (1) year of accrual, and reimbursement claims reported within thirty (30) days, matching the overcharge remedy in Section 5; these limits are not applied to consumers to the extent unenforceable or unfair.
Prevailing-party fees. In non-consumer disputes arising from these Terms, the prevailing party is entitled to reasonable legal fees and costs.
We may modify these Terms at any time. Material changes are announced with reasonable notice: at least fifteen (15) days for business Hosts, and at least thirty (30) days before they take effect where a change materially affects consumers. Continued use after the effective date constitutes acceptance. Changes never apply to Reservations already confirmed, and do not apply retroactively where mandatory law so requires.
We may terminate or suspend your access at any time, with or without cause and notice, subject to Section 16.3. Sections that by their nature survive (including 3, 5, 8, 12, 13, 14, 15, 16, 17, and 18) survive termination.
These Terms, with our Privacy Policy and any House Rules, are the entire agreement and supersede prior agreements. Invalid provisions are severed; our failure to enforce is not a waiver; we may assign, you may not without consent; no third-party beneficiaries except as stated; electronic notices satisfy written-notice requirements; the English version governs, and we will provide a copy of these Terms in English on request.

Our content. The RentalBay name, logo, brand elements, layout, and all site copy are owned by or licensed to RentalBay Limited and are protected by copyright and (where applicable) trade mark law. You may not reproduce, distribute, or create derivative works from them except for personal, non-commercial use of the Platform.
Demo listings are illustrative. The properties, hosts, reviews, ratings, prices, and testimonials shown on the Platform are fictional examples for demonstration purposes. Any resemblance to real persons, businesses, or properties is coincidental. No listing on this demo is an offer capable of acceptance, and no Host or Property is verified as real.
Third-party photographs. Photographs are served under the Unsplash License. Unsplash and its contributing photographers retain their respective rights; nothing in these Terms grants you any additional rights in those photographs. A full provenance ledger and third-party notices are available at THIRD-PARTY-NOTICES.md.
Trade marks. All product names, logos, and brands referenced on the Platform (including, without limitation, any third-party marks) are the property of their respective owners and are used only descriptively for identification. Reference to a third-party mark does not imply affiliation, endorsement, or sponsorship. You may not use any mark in a way that is likely to cause confusion.
Your content. You retain ownership of content you upload (for example, a Property description or photo). You grant us a non-exclusive, worldwide, royalty-free, sublicensable licence to host, display, and distribute that content on the Platform and to use it for the operation of the Platform, in each case in accordance with our Privacy Policy. You represent that your content does not infringe any third-party intellectual property or other rights.

Your data, your control.
This Privacy Policy explains how RentalBay Limited ("RentalBay", "we", "us") collects, uses, shares, and protects personal data through the RentalBay platform (the "Platform"). It applies to Guests and Hosts. Our data protection regulator is the Information Commissioner's Office (ICO).
We are the controller for Platform account and usage data. Where we process Guest personal data on behalf of a Host (for example, forwarding booking details), we act as a processor under Article 28 of the UK GDPR and will enter into a data-processing agreement on request. Each Host is a controller of the personal data they receive about their own Guests and must handle it in accordance with the UK GDPR and our Host Terms.
Where personal data is transferred outside the United Kingdom, we rely on UK adequacy regulations or appropriate safeguards (including the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses) in accordance with Chapter V of the UK GDPR.
We keep account and booking data for as long as your account is active and thereafter up to two (2) years after your last activity, or longer where the law requires (for example, tax records). Verification data is retained separately with restricted access. You may delete your account at any time; erasure is carried out within 30 days of a valid request, subject to legal retention requirements.
Email privacy@rentalbay.co.uk and we respond within 30 days.
We apply appropriate technical and organizational measures, including encryption in transit, restricted access to verification data, and account security features such as two-factor authentication. We notify the Information Commissioner's Office (ICO) of personal-data breaches within 72 hours and affected users without undue delay where there is a risk to their rights and freedoms.
We use strictly necessary cookies and local storage to run the Platform. Where we use non-essential cookies (analytics or preferences), we ask for your consent in accordance with the Privacy and Electronic Communications Regulations 2003 (PECR), and you can change your choices at any time via "Your privacy choices" in the footer. The Platform is for users aged 18 and over. We do not knowingly collect data from children.

No tracking before you choose.
This Cookie Policy explains how RentalBay Limited ("RentalBay", "we", "us") uses cookies and similar technologies on the RentalBay platform (the "Platform"). It works with our Privacy Policy and Terms & Conditions.
This policy covers all technologies that store or read information on your device: browser cookies, localStorage and other web storage, SDKs, pixels, and device identifiers — used on the Platform and in our mobile app. Where this policy says "cookies", it means all of these.
We currently use strictly necessary cookies and local storage to make the Platform work — for example, to remember your language, your auction session, and any listing, host, or reservation you create. These are exempt from consent under Regulation 6 of the Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR), as amended, because the service cannot run without them. We currently set no analytics or advertising cookies, and nothing is stored before you make a choice.
We use the following third-party services, which may transfer data outside the United Kingdom under UK adequacy regulations or the UK Addendum to the EU Standard Contractual Clauses:
When consent is required, we show a consent banner offering Accept all and Reject all. Each choice is recorded as a timestamped, versioned, purpose-level record stored in strictly necessary local storage. We do not re-ask on every visit; the record is refreshed if we materially change the purposes described in it.
In the app, cookies and similar technologies work as described above. On iOS, the App Tracking Transparency prompt and Settings privacy controls apply; on Android, the user-consent and advertising-ID controls apply. Any SDKs are listed in the app's settings.
We do not sell personal data and have no activity that would constitute a "sale" or "share" under the CCPA/CPRA. If that changes, we will offer a "Do not sell or share my personal information" control and honour the Global Privacy Control. California and Connecticut residents may opt out of targeted advertising through the same control.
Consent records are retained for as long as needed to demonstrate compliance (up to the retention period for account data). Data collected via non-essential technologies, if any are activated, is retained only for the purpose stated in Section 4.

Everyone should be able to find a stay.
RentalBay Limited ("RentalBay", "we", "us") is committed to making the RentalBay platform (the "Platform") accessible to everyone, regardless of ability or technology.
We aim to conform to the Web Content Accessibility Guidelines (WCAG) 2.2 at Level AA. The Platform is designed and audited against these criteria, including keyboard operability, screen-reader support (semantic landmarks, accessible names, focus management), colour contrast of at least 4.5:1 for normal text, and full support for prefers-reduced-motion.
This statement was reviewed and the Platform was audited in August 2026: WCAG 2.2 AA automated checks plus manual keyboard, screen-reader, and reduced-motion review.
We welcome feedback on the accessibility of the Platform. If you encounter a barrier, please contact us at accessibility@rentalbay.co.uk and we will respond within 10 working days, providing an accessible alternative or fixing the issue in a reasonable time.
This statement sits alongside our obligations under the Equality Act 2010, which requires reasonable adjustments for disabled users of a service like ours.
